4. Privacy notice - postal vote

The information on this page relates to the personal data collected by the Elections team under its privacy notice. For details on how to apply to vote by post, please visit our ways to vote page.

4.1 Your personal data will be held by the Electoral Registration Officer of, Civic Offices, Harlington Way, FLEET, GU51 4AE as Data Controller. Registration number: Z6770403.

4.2 The lawful basis for holding this information is the performance of a public task, in the public interest as provided by electoral law.

4.3 The laws in question are the Representation of the People (E&W) Regulations 2001 and the 2006 Principal Areas Rules and the 2006 Parish and Communities Rules.

4.4 In the course of administrating your postal vote, your address and name and elector number will be transferred to: SciPrint Ltd, 12 Easter Inch Road Industrial Estate, Bathgate, EH48 2FH to print and post your postal vote pack. They will destroy your data after 30 days and not use it for any other purpose. If the contractor that provides this service changes then this privacy notice will be updated.

4.5 You can object and stop us processing your data for this purpose but if you do then you will not be able to vote by post.

4.6 We will not undertake any data profiling or transfer your data outside of the EEA.

4.7 We will use automated decision-making systems to check your personal identifiers when you return your postal vote ballot paper. These systems will not be able to decide if your vote is invalid, that decision is made by the Returning Officer.
